RESPONSIBILITIES/ACCOUNTABILITIES
10.1 Contracts Management
Ensure that signed contracts are communicated to all relevant parties to provide contract visibility and awareness, interpretation to support implementation. Responsible for post award activities including conducting kick-off meetings, coordinating all contract submittals and correspondence, preparation and processing of variation orders, claims and close-out. Implement the risk management process, review risk registers and check risk controls. Maintain contractual records and documentation such as receipt and control of all contract correspondence, contract costs, outstanding purchase orders, order acknowledgements, GRN’s customer contact information sheets, contractual changes, status reports and other documents for all projects/contracts. Liaise with other departments (Manufacturing, SHEQ, Site Services, Engineering) to ensure that where risks have been identified, appropriate course of action have been taken to ensure efficient & effective delivery of the contractual obligations. Monitor transaction compliance (milestones, deliverables, invoicing, etc.) Coordinate Project close-out procedures including Maintenance & Operations Manuals, Warranties and As-built drawings. Management of contracts execution with responsibility of product sales i.e., checking the management of all contracts, costs, closures, quality, customer satisfaction and the successful and profitable management of all of the department’s activities. Compile, update and manage the production lists for ITRs, DSCs and MV CBRs factories. Organise and chair weekly Production & Commercial Co-ordination meetings and provide feedback to the Commercial Manager. Compile and update sales forecasts monthly of all HV products. Review and manage the sales forecast weekly. Check and monitor sales, cost allocations and profit margin for all products weekly and final review before sales are cut-off to ensure everything is invoicing, costs allocations and profit margins are correct. Prepare monthly reports for the Division’s management monthly review meetings.
10.2 Project/Contract Financial Management
Analyse and understand financial performance of the department and ensure costs are allocated accordingly on Syspro generated monthly reports. Review and investigation of Income Statement including cost allocations and expenses incurred vs budget of all products. Ensure effective cash flow management by negotiating favourable payment terms with customers and by supporting Finance department with cash collection efforts on all products. Management of corrective actions with regards to cost controls. Produce and analyse progress reports, updated costs & sales and forecasts for the contracts. Ensure that contract risks and opportunities, mitigation plans and savings plans are properly calculated and disclosed at the contract reviews. Assist in compiling of annual budgets for all products.
10.3 Customer/Stakeholder Relationship Management
Conduct regular customer visits. Ensure and maintain ongoing operational working relationships with the customers and stakeholders. Identify key role players in the industry and in Eskom Transmission & Distribution entities, build and maintain strong relationships. Create an environment of trusts through timeous, open and honest communication. Interact with clients and stakeholders and find out what their requirements are and find ways to address them in a mutually beneficial way. Adhoc duties on an as-and-when requested at the Commercial Manager’s discretion.
Desired Experience & Qualification QUALIFICATIONS
A tertiary 3-4-year Engineering diploma or degree or similar at an NQF Level 7 or higher or relevant discipline/industry experience. Registered or eligible for registration with South African Council Construction for Project and Construction Management Professions (SACPMP) and/or Project Management Institute (PMI).
8.0 BEHAVIOURAL ATTRIBUTES AND EXPERIENCE/COMPETENCIES
Minimum of 10 years’ experience working in the Electrical Transmission & Distribution Industry is required. Minimum 8 years (of the 10 years) experience in Manufacturing and Contracts Management industry. Have strong contract management and administration skills. Have strong technical and commercial abilities. Experience in Sales and Marketing of High Voltage Products. Good communication skills (written and verbal); including a strong working knowledge of Microsoft Office Suite is a necessity. Experience in Project Finance and Financial Management. Experience in contract conditions of contracts i.e., NEC/JBCC/GCC and FIDIC Conditions. Strong ability to work on Syspro.
