Introduction Office Administrator
The main purpose of the job is to manage the day-to-day operations of the office, ensuring an organized and efficient work environment. This role involves a wide range of administrative and support tasks, including managing office supplies, coordinating office activities, coordinating meetings, and providing support to staff and management.
Duties & Responsibilities KEY PERFORMANCE AREAS:
● Provide general administrative support to the team, including scheduling meetings, managing calendars, and handling correspondence. ● Prepare and edit documents, reports, and presentations. ● Handle incoming and outgoing mail, emails, and phone calls. ● Maintain office supplies inventory; order and replenish supplies as needed. ● Oversee the upkeep and cleanliness of the office space. ● Coordinate office equipment maintenance and repairs. ● Assist with budgeting and expense tracking. ● Process invoices, manage petty cash, and handle basic accounting tasks. ● Assist with the co-ordination of on-boarding and training of new employees. ● Help with coordinating other HR-related tasks such as training and benefits administration. ● Serve as a point of contact between the office and external vendors or service providers. ● Coordinate internal and external events, meetings, and conferences. ● Facilitate communication within the office to ensure smooth operations. ● Ensure that office operations comply with company policies and procedures. ● Maintain and organize important company documents and records. ● Implement and follow office safety protocols and procedures.
Desired Experience & Qualification MINIMUM REQUIREMENTS:
Qualifications: ● Matric and Office Administrator certificate or equivalent.
Experience: ● 3 years' experience in an Office Administrator role. ● Experience within the telecommunications industry or Operations Centre will be an added advantage.
Knowledge: ● Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software. ● Strong time management, organizational, and multitasking skills. ● Excellent verbal and written communication abilities. ● Attention to detail and problem-solving skills. ● Ability to handle confidential information with discretion. ● Ability to work under pressure and able to work long hours when required. ● Ability to work independently and as part of a team.
